Privacy policy

This page summarises how UtilityPilot handles personal data. The portal and marketing site are operated from the United Kingdom and follow UK GDPR and the Data Protection Act 2018.

Information we collect

When you create an account we store your email address, display name and the workspace you are part of. When you upload a bill we store the file, basic document metadata, the utility account it belongs to, and any data extracted from the bill by our AI extraction workflow.

We also store information you provide voluntarily — for example household member records you add to your workspace, contact requests, and quote requests you raise. We log essential operational events (such as bill processing success / failure) so we can investigate issues.

How we use information

  • To run the portal — saving bills, building dashboards, tracking due dates and renewal information.
  • To answer support and contact requests.
  • To improve UtilityPilot — e.g. monitoring extraction accuracy and platform reliability.
  • To share opt-in, anonymised quote context with suppliers when you specifically ask us to.

UtilityPilot does not sell your personal data and does not let suppliers contact you directly without your explicit consent.

AI extraction

Bill extraction is automated and may contain errors. Extraction outputs are treated as untrusted until you (or an admin) confirm them. UtilityPilot does not provide legal, tax, financial or switching advice — please verify important figures against your supplier paperwork before acting.

Suppliers and quote sharing

Supplier-facing data is limited to anonymised technical context (for example utility type, region, usage range and contract end window). We never share your full name, full address, email, phone, account number, MPAN/MPRN or the original bill file with suppliers without an explicit consent action recorded in your workspace.

Cookies and analytics

Essential cookies are required to keep you signed in. Optional analytics cookies (Google Analytics / Google Tag Manager) are only loaded after you choose "Accept all" in the cookie banner. You can change this at any time from the "Manage cookies" link in the footer.

Storage and security

Bills and workspace data are stored in Appwrite, a managed backend platform. Server actions and storage downloads are gated by workspace permissions. We do not expose raw bill files via public URLs.

Your rights

  • Access — request a copy of the data we hold about you.
  • Correction — update inaccurate workspace information yourself or via support.
  • Deletion — close your workspace and delete your personal data.
  • Objection / restriction — limit the way we process your information.

Changes to this policy

We may update this page as UtilityPilot evolves. Material changes will be announced inside the portal where appropriate.

UtilityPilot is a product of Mamursa Software. Payment receipts may appear under that trading name when paid subscriptions go live.
